Privacy Policy

How Velox Media collects, uses and protects personal data, in line with Singapore's Personal Data Protection Act 2012.

Who we are

This policy applies to VELOX MEDIA HOUSE PTE. LTD. (UEN 202641071Z), trading as Velox Media, and to this website. Our registered office is 400 Orchard Road, #11-08, Orchard Towers, Singapore 238875.

In this policy, "personal data" has the meaning given to it in the Personal Data Protection Act 2012 of Singapore (the "PDPA"): data, whether true or not, about an individual who can be identified from that data, or from that data together with other information we have or are likely to have access to.

What we collect

This website does not operate newsletter signups or account registration. We collect personal data in three situations:

  • When you book a call. Our booking page collects your name, email address and, optionally, your company and a note about what you would like to cover. These details are sent to Calendly, our scheduling provider, which creates the meeting and issues the calendar invitation. Calendly processes them as our service provider and under its own privacy policy.
  • When you contact us directly. If you email, call or message us, we hold whatever you send us, together with your contact details and our correspondence.
  • When you become a client. During an engagement we hold business contact details, the information needed to deliver the work, and material you provide us access to — for example advertising or analytics accounts.

We do not run advertising trackers, analytics scripts or third-party marketing cookies on this website. The only cookie the site sets is a session cookie used to keep our own staff signed in to the private admin area; it is strictly necessary and is not used to track visitors.

Booking requests are rate-limited and screened for automated submissions. We log the outcome of failed booking attempts for security purposes; these logs do not retain the details you entered.

Why we use it

We use personal data to respond to enquiries, arrange and hold meetings, prepare proposals, deliver and administer engagements, issue invoices, and meet our legal and record-keeping obligations.

We do not sell personal data. We do not share it with third parties for their own marketing.

Consent and withdrawal

Where the PDPA requires consent, we collect, use or disclose personal data only with your consent, or where collection without consent is permitted or required by law.

You may withdraw consent at any time by writing to admin@veloxmedia.site. We will act on the request within a reasonable period and explain the likely consequences — for example, that we may no longer be able to provide a service. Withdrawal does not affect anything done before the withdrawal took effect, and does not override our legal obligation to retain certain records.

Who we share it with

We share personal data only where necessary, and only with:

  • Service providers who process data on our behalf under contract — for example our scheduling provider (Calendly), email and file hosting, and accounting software
  • Advertising and analytics platforms where we operate accounts on a client's behalf, in that client's own account
  • Professional advisers, and regulators or authorities where we are legally required to disclose

Transfers outside Singapore

Some of our service providers store data outside Singapore. Where we transfer personal data overseas, we take reasonable steps to satisfy ourselves that the recipient is bound by legally enforceable obligations to protect it to a standard comparable to the PDPA, as required by the Transfer Limitation Obligation.

How long we keep it

We stop retaining personal data once the purpose it was collected for is no longer being served and retention is no longer necessary for legal or business purposes. Enquiries that do not become engagements are ordinarily deleted within 24 months. Client records are retained for the period required by applicable tax, accounting and limitation rules.

How we protect it

We apply reasonable security arrangements to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks — including access controls, encrypted transport, and limiting access to staff who need it.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Data breaches

We maintain a process for assessing data breaches. Where a breach is notifiable under the PDPA — broadly, where it is likely to result in significant harm to affected individuals, or is of significant scale — we will notify the Personal Data Protection Commission as soon as practicable and in any case within three calendar days of making that assessment, and will notify affected individuals where required.

Your rights

Subject to the exceptions in the PDPA, you may ask us for access to the personal data we hold about you and information about how it has been used or disclosed in the past year, and you may ask us to correct data that is inaccurate or incomplete.

Send requests to admin@veloxmedia.site. We may need to verify your identity, and a reasonable fee may apply to access requests. We will respond within 30 days, or tell you when to expect a response if we cannot.

We may update this policy from time to time. The current version is always the one published on this page, and the date above shows when it last changed.
